Terms of Service

Acceptance

By creating an account or using the Ostelflow service, you agree to these terms. If you don't agree, don't use the service. These terms form a binding agreement between you (the "Customer") and Ostelflow.

The service

Ostelflow is a software-as-a-service platform that helps hoteliers and property managers run their properties: inventory distribution across OTAs, direct bookings, guest messaging, online check-in, owner statements, and related features as we add them.

We may change, add, or remove features. We will give reasonable notice for material removals that affect paying customers.

Your account

  • You must give us accurate registration information and keep it up to date.
  • You are responsible for keeping your password confidential and for all activity under your account.
  • One account per organization. You may invite team members; each invited user agrees to these terms by accepting the invite.

Trial and subscription

New accounts include a 14-day free trial. No card is required to start. After the trial, continued use requires an active paid subscription unless we have explicitly comped your account.

Current pricing: €29 base per month plus €5 per unit per month, minimum 3 units. Pricing is shown in your settings and on our public pricing page; we may change pricing with 30 days' notice. Existing subscribers keep their current rate for the remainder of their billing period.

Subscriptions renew automatically each month until cancelled. You can cancel any time from the billing settings or via Stripe; the subscription stays active until the end of the current period.

Payment and failure

Payments are processed by Stripe. If a payment fails, we'll attempt to charge again and notify you. After a 7-day grace period without a successful payment, write access to the account is restricted (you can still read your data) until the balance is settled.

Your data, your guests' data

You retain ownership of the data you put into Ostelflow — properties, units, bookings, guest records, messages, photos. We process this data only to provide the service to you, as described in our Privacy Policy.

For guest data specifically, you are the data controller and we are the processor. You are responsible for having a lawful basis to collect guest data and for honoring guests' rights under applicable law.

Acceptable use

You may not:

  • Use the service for illegal activity, including processing unlawfully obtained data.
  • Resell, sublicense, or expose the service to third parties as if it were your own product without our written agreement.
  • Attempt to reverse-engineer, scrape at unreasonable volume, probe for vulnerabilities without coordinated disclosure, or interfere with other customers' use of the service.
  • Send spam, illegal, or abusive content through any messaging or email feature of the service.

We may suspend or terminate accounts that violate these rules, immediately when needed to protect the service or other customers.

Third-party integrations

Ostelflow integrates with third-party services (channel manager, OTAs, Stripe, WhatsApp, etc.). Those services have their own terms and outages, and we don't control them. We do our best to keep integrations healthy and to recover from outages, but we don't guarantee uninterrupted availability of any third-party-dependent feature.

Service availability

We aim for high availability but don't currently offer an explicit SLA. Scheduled maintenance is announced in advance when feasible. Custom uptime commitments are available under separate enterprise agreements.

Termination

You may close your account any time from settings. We may terminate accounts that violate these terms, fail to pay, or that we reasonably believe pose a security or legal risk.

On termination, we retain your data for 30 days (recoverable by request), then delete it, subject to billing records we are legally required to keep.

Liability

The service is provided "as is". To the maximum extent permitted by law, Ostelflow's aggregate liability under these terms is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental, or consequential damages, loss of profits, or loss of business opportunity.

Nothing in these terms limits liability that cannot be limited under applicable law (e.g. gross negligence, willful misconduct).

Governing law

These terms are governed by the laws of the Ostelflow operating entity's home jurisdiction. Disputes will be resolved by the competent courts there, unless mandatory consumer protection law in your country says otherwise.

Changes

We may update these terms. Material changes will be notified by email to account owners at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.
